Facility Use

The primary use of Prince William Sound Community College facilities is for student educational programs. All other use, other than the normal and regular activity of instruction, public service and necessary administrative and support services, requires a Facilities Use Permit or an agreement issued by the PWSCC Business Office. Activities not on the College semester schedule are subject to these procedures. This includes seminars, workshops and other instructional offerings.

Special Event Insurance and/or General Liability Insurance may be required when using College facilities. The PWSCC Business Manager will review the request and determine if insurance will be required based on the requested use/activity. Special Event Insurance is available for purchase from the University of Alaska and the PWSCC Business Manager will provide the application form if needed.

Upon official request, college facilities may be made available to college and non-college groups, according to the policies of the Board of Regents and in order of priorities listed below.

Priority One: Activities included on the semester schedule. All scheduled PWSCC academic programs.

Priority Two:College sponsored faculty, administrative, student, or alumni activities.

Priority Three: College sponsored or co-sponsored activities sponsored by private groups, e.g., Phi Theta Kappa, Heart Run.

Priority Four: Private activities of for-non-profit, non-college sponsored organizations. Facilities are charged at non-profit rate schedule.

Priority Five: Private activities of for-profit, non-college sponsored organizations. Facilities are charged at the private rate schedule.

Food and Beverages

  • The following beverages are not allowed: orange soda, grape soda, Hawaiian punch, red punch, and alcoholic beverages.
  • Personal consumption, possession, or display of beer, wine, or other alcoholic beverage is prohibited in University public places. No University activity or function shall include the service of alcoholic beverages without advance written approval of the UAA Chancellor or the Chancellor’s designee.
  • Signs and Flyers

  • Do not use tape, adhesives, nails, tacks, screws or similar items on walls, wood, or any plaster or painted surfaces (including metal doors and door frames).
  • Notices may be posted on designated bulletin boards and pre-approved sandwich boards. No flyers/signs are allowed on stationary glass or windows on the PWSCC campus. Notices posted where they are not allowed will be removed.
  • No signs or banners are to be placed on or hung from ADA hand railings.
  • Furniture, Phones and Supplies

  • Do not remove tables or chairs from rooms.
  • If you rearrange furniture in a room, please return it to the original arrangement after your class or meeting.
  • College employees do not take or deliver phone messages unless it is an emergency.
  • Bring any supplies you need: pens, paper, white board marker, etc. PWSCC will be unable to provide these items.
  • Cleanup

  • Deposit trash in the proper receptacles.
  • Any damage or excessive cleaning needed as result of a group’s activity will be charged to that group.
  • Please remember this is an educational facility.

    Gaming License

    Games of Chance and Skill permits are issued by UAA Administrative Services. The permit is intended to be used by qualified college community groups to serve as a fundraising vehicle.

    This type of activity is regulated by State of Alaska Law. If you are planning such an event please contact the Business Office for assistance in obtaining the permit at least two weeks prior to the event.

    PERMITS ARE REQUIRED BY LAW FOR THIS TYPE OF ACTIVITY!

    Alcohol Permit

    Organizers of University events are encouraged to plan events without alcoholic beverages. However, should an organization request permission to make alcoholic beverages available, the following regulations apply. If any of the conditions set forth in the regulations or policy regarding consumption of alcoholic beverages are not met, the event may be terminated and its sponsors held subject to University disciplinary actions and/or sanctions of state law.

    1. Alcoholic beverages may be served on or off-campus at a private University event if approved by the Chancellor (or designee) under the following conditions. University events are generally characterized by the attendance of students, faculty, staff, and their guests and by the use of University resources.
      • An authorized representative of a University department, division, or office will assume responsibility for the event, will agree to the terms of facility usage, and will agree to be present for the duration of the event. The representative shall be responsible for fulfilling the obligations specified in the “Request for Permission to Serve Alcoholic Beverages.”
      • The sale or consumption of alcoholic beverages will be in compliance with Alaska state law. The sale of alcohol requires Alcohol Beverage Control Board approval. The Program Support Office will refer the sponsor to the ABCB for approval when deemed necessary.
      • The event will conform to the regulations established by the University.
      • Alcoholic beverages must be served in a controlled environment and may not be removed from the location specified for the event.
      • The quantity of alcohol available to participants should be regulated and supervised by the sponsor. Some events will require a licensed caterer to help control the service of alcohol.
      • Contests involving the consumption of alcohol are not allowed.
      • Food items and non-alcoholic beverages must be available at the event.
      • Alcohol should not be the main focus of any event and should not be mentioned or implied in publicity for the event.
    2. The sponsor must process a request at least two weeks in advance for any event which includes the consumption of alcoholic beverages on or off campus.
    3. The authorized representative of the University requesting alcoholic beverages be served at an event, and individual participants consuming alcohol, will be personally responsible for any behavior that may violate the safety, rights, and property of others.
    4. Some event requests by their very nature will require review by the campus Public Safety Department. User organizations and individuals may be required to hire safety or security officers for an event.
    5. Individuals or organizations wishing to use University facilities for non-University events must contact the Prince William Sound Community College Business Office. The University may require review of the request by the Alcohol Beverage Control Board to determine if a special event permit is required.

    IT Equipment Services

    PWSCC IT Services (an Information Technology Services Team) provides audio and visual equipment and expertise to College faculty and staff on the Valdez Main Campus and technology support to the Copper Basin and Cordova campuses. Students who need audio or visual equipment must have a faculty or staff member place the request in their name for the student.

    Facility use groups requesting IT Services or equipment must submit an IT request by contacting Kevin Hurtley at (907)834-1643 or Scott Fronzuto at (907) 834-1642.
